Automation: Preventive Maintenance

The Automation tab determines the method and timing for the generation of work orders, and whether the work orders should be generated as a group. Automation can either generate work orders automatically at a specified time or generate reminders so that work orders can be generated manually.

  • For time/date based schedules, the work orders generated will have a Target Completion Date that matches the Due Date on the Assets tab.

  • For meter/usage based schedules, the work orders will have the date generated populated as the Target Completion Date.

While Target Completion Dates can be set based on the priority defined for the work order using the Work Order Priority Manager, this feature is not generally used for preventive maintenance schedules to ensure that the Target Completion Date is based on the schedule parameters. A Preventive Maintenance Preference is available to determine whether or not the Priority Rules should be used with preventive maintenance schedules.

ClosedWork Order Generation

This panel allows you to define the work order generation parameters.

  1. Choose between two options:

    • Notification: If you select the first option, the system will create a notification on the Home page to let you know when preventive maintenance is due. You specify when the notification appears by selecting the number of days before the PM is due. When the notification appears, click it to open the Generate Work Orders dialog box to manually generate the work orders.

    • Generation: If you select the second option, the system will automatically generate the work orders with no intervention. The numeric field allows you to specify the number of days before the PM due date to generate the work orders.

  2. Select the Use Procedure to set the number of days prior to this PM being due check box to designate different notification periods for different procedures.

    If selected, the value shown on the PM Procedures tab will be used.

    If this indicator is not selected, the number of days specified in step 1 will be used for all procedures attached to this PM. If this indicator is checked, the value shown on the PM Procedures tab will be used.

  3. Select the Create Work Order Group(s) check box to generate all work orders from the schedule as part of an established group.

    This allows you to effect changes to the group of records in a single step. For additional information, see Manage Groups of Work Orders. If you select this check box, two additional options appear:

    • Create separate Group(s) for each Repair Center: If selected, work orders for assets from each Repair Center are maintained in separate groups.

    • Designate a single Master Work Order to represent all Work Orders in a Group (Advanced): If selected, work orders that are part of a group with a master/child relationship designate one work order as the master work order. Only the master work order will be listed in the Work Order list, since it will be the record you use to make assignments, change status, indicate progress and close out.   4. Click Save.

ClosedNew Assets

This panel provides a list of asset classifications that should automatically be associated with this preventive maintenance schedule. Whenever a new asset of the designated classification is created, it will automatically be assigned to this preventive maintenance schedule.

For each record, the following information is displayed:

  • Name: The name of the asset classification.

  • Parent Location: The name of the parent, if applicable, in the asset classification hierarchy.

Add a new asset classification to this list:

  1. Click Add.

    A lookup opens allowing you to select one or more asset classifications.

  2. Use the tools in the lookup to locate and select the asset classifications to add them to the My Selection(s) list.

  3. Click Apply.

    The selected classification appear in the list on the Automation page. To remove a listed asset classification, click the arrow preceding its name.

  4. Click Save.
